STX Beacon: Waiting List
Waiting List is your quick-reference log for clients on hold for their preferred appointment time. All time and service information is organized for quick decision making, and you can book right from the Waiting List.
The Waiting List page will automatically display after an appointment is canceled if there is a match for the time, date, and worker pending as an existing Waiting List entry.
To access the Waiting List, go to Home and click the Appointments option.
The Appointment Calendar / List page will appear.
Click the Waiting List button.
Each client previously added to the Waiting List will be listed.
Click the Client hyperlink to view, edit, remove or book an appointment for the waiting list entry.
Waiting List Detail
The client’s name will display as a hyperlink. Click the hyperlink to go to the full client card. The client’s primary and mobile phones will display if they are present on the client’s card.
The requested Service(s) and Worker(s) will be listed.
Request Note is for adding an appointment note, or editing an appointment note already present.
Appointment Time Requested allows entering the following:
Earliest Time: the earliest time of day the client is available
Latest Time: the latest time of day the client is available
Earliest Date: the earliest date the client wishes to schedule the appointment
Latest Date: the latest date the client wishes to schedule the appointment
None of the Time and Date fields are required, and the system allows entering the same Date in the earliest and latest Date fields.
Added is when the waiting list entry was added, and by whom.
Click Book Appt to book an appointment for the client. The waiting list entry will be removed upon booking the appointment.
Click Save to save your changes. Click Cancel to discard your changes. Click Delete Request to have the waiting list entry removed without booking an appointment.
Add to Waiting List
Wherever you see the Book Appt or Rebook buttons, click either to begin the booking process. After clicking Book Appt or Rebook, search for and select the client name if necessary.
The Book Appointment page is where you can add a client to the Waiting List.
Select the following:
Add information into the optional Appointment Notes field. Click the Search for Appointment button.
If the appointment search results do not display an opening the client is wanting, click the Add to Waiting List button.
Book from Waiting List
From the Appointment Calendar, click the Waiting List button to access the Waiting List page.

Click the Client hyperlink to book an appointment for the client.
Click the Book Appt button. The Book Appointment page will appear.
Edit the Appointment Request as necessary.
Select a Visit Type.
Click the Search for Appointment button.
Select the desired time, then click Schedule Appointment.
If the client wishes to wait until a different opening becomes available, click the Add to Waiting List button to return the client to the waiting list.
Add from New Button
Waiting List: New Button – Allows for a client to be added to the Waiting List without you having to search for an appointment first.
From Appointments, click the Waiting List button. The Waiting List page will appear.
Click the New button and search for an existing client when the Client Search screen pops up, or,
Add a new client.
The Waiting List Detail page allows you to set the specifics of the appointment request.
Click Save when finished.
The new entry will appear in the Waiting List.
