STX Beacon: November 2017 Updates

 

Release Information

Important: Always log in and immediately review existing worker permissions settings when new features or reports are added. Workers will not have access to any new features and/or reports until you make the necessary changes to the worker permissions options.

Click the permissions Name hyperlink to view the Permission Detail page. 

Select from the Page Category drop-down menu to add Allow Access to each set of pages.

Click the Select All button to allow access to all pages within the category.

Click the Unselect All button to remove access to all pages within the category.

Individually check the Allow Access checkbox for the appropriate pages where access is allowed.

If changes are made to the Permissions set, you will need to reassign the permissions to the appropriate workers. Go to Setup > Setup Workers > Worker Details. Click the worker name and go to the Other tab. Set the Security Permissions drop-down menu to None and click the Save button. Go back to the worker Other tab and set the Security Permissions drop-down menu to the desired option.  Click the Save button when finished.

What’s new in this release of Beacon?

There are numerous behind-the-scenes changes in each new release of Beacon that improve stability and performance. This list, however, informs you of new features and enhancements. 

Note: Some of the new features which may be included in this release are for use with the Online Booking and Credit Card Processing features. You must be subscribing to these features in order to use some the new items.

Mobile Carriers

Fido has been added to the list of Mobile Carriers. 

If you do not see a specific carrier listed, please refer to the following information. Some smaller carriers share mobile services with one or more of the larger carriers. 

Consumer Cellular shares mobile services with 2 different carrier options: AT&T and T-Mobile. Your clients will need to identify which carrier Consumer Cellular uses for their account and let you know.  Then you will simply select either AT&T or T-Mobile on the Client Card > Preferences tab, whichever is appropriate for the client.

Straight Talk shares mobile services with 2 different carrier options: AT&T and Sprint. Your clients will need to identify which carrier Straight Talk uses for their account and let you know. Then you will simply select either AT&T or Sprint on the Client Card > Preference tab, whichever is appropriate for the client.

Red Pocket shares mobile services with AT&T. Simply select AT&T as the carrier on the Client Card > Preferences tab. It is a good idea to verify the client receives your notifications / reminders.

Go to Setup > Setup Workers, then click Setup Permissions to review/edit permissions.

Notifications and Emails

The Merge Field drop-down menu for both the Notifications and the Reminders tabs contains a new special substitution variable. Select the Booked Services variable for including the booked service(s) of the appointment in the Text Message field, as well as the Email Template field.

  • Select the substitution variable you would like to include in the text message and/or email template. 

  • The variable will display to the right. Highlight the variable, including the curly brackets { }.

  • Go to the Edit menu to Copy.

  • Click in the text message field where you would like to have the substitution variable inserted.

  • Go to the Edit menu to Paste.

  • Click in the email template field where you would like to have the substitution variable inserted. 

  • Go to the Edit menu to Paste.

Online Booking PIN Emails

If the business has disabled the Online Booking feature, PIN emails are no longer generated when creating a new client record, or saving a new primary email address.

Guest Charge

Guest Charge – Ability to add a service sales charge separate from the Service Fee entered on the worker services. A Guest Charge field has been added to the Service Detail page in Setup > Setup Services > Setup Services. 

When a dollar amount is saved in the Guest Charge field on a service, the amount will be used in Process Compensation, regardless of the compensation method used for the worker.

The Total Sheet report will show the Guest Charge amount by individual worker with a total value of all workers. 

Guest Charge amounts are not visible on the ticket, or anywhere else except for Setup Services and the Total Sheet.

When a dollar amount is saved in the Guest Charge field on a service, the amount will be automatically deducted from the worker service sales total in compensation each time the service is performed. The compensation detail will display the difference between the service and guest charge amounts as being the total Gross Service for the worker.

In this example, the true Service Sales total for the worker was $100. The Guest Charge is $30. The compensation displays the difference of $70 for the Services and Gross Service amount. Nowhere does the actual Guest Charge total appear. 

Total Sheet > Guest Charge – The Guest Charge column was added to the Worker Sales section of the Total Sheet. The amount is displayed for each worker, with a total at the bottom of the column so the business owner can view a total of all guest charges per worker. 

Credit Card Device

Additional credit card device options have been added to Setup Ticket Preferences > POS Devices > Device Configuration > Credit Card Device to only show compatible credit card devices according to the computer / mobile device being used. Each computer / mobile device processing credit cards with a specific card reader will need to select which Credit Card Device is being used. PLEASE NOTE: Credit card readers for Beacon mobile processing that plug into the headphone jacks should be left plugged in. Taking them out and plugging back in can wear them out quicker, and poses a risk of damaging either the headphone port or the plug on the card reader. Also, it is strongly recommended the mobile device is dedicated for business use only.

Show All Workers

Workers scheduled off for the day being viewed are now hidden. Only workers with appointment services will display with a column on the calendar.

Check the Show All Workers checkbox to view the unscheduled worker columns. 

This only applies to the All Workers / One Day view. 

A worker that has no scheduled hours for the day being viewed will only display on the appointment calendar if an appointment is scheduled in the worker’s column, eliminating the need to check the Show All Workers checkbox.

Online Booking Indicators

Display appointment service indicators so users can quickly to tell if an appointment is for a new (first visit) client, or if the appointment service was booked online without having to open the appointment detail page.

The letter “O” will display on the in the symbol area of an appointment service for those booked online.

The Name of a first visit client will display in RED on the appointment service.

Book Out Time

The Book Out Time function has been enhanced with the ability to edit existing times booked out, as well as the ability to make the time booked out a recurring time out, much like booking a standing appointment. 

To edit an existing Book Out Time already scheduled on the appointment calendar, click the scheduled Book Out Time and make the necessary edits. Change the Status to Canceled to cancel the time booked out.

To schedule the Book Out Time a recurring time out, click the Book Out Time button on the appointment calendar. 

    • Only Active workers will show in the Select Worker drop-down menu.

    • Respects the worker's hours to determine if the requested time is available or closed, with only the available times being booked out.

Select the worker, start date, and start and end times for the book out time. 

Select from the # of Book Outs.

Set the frequency from the Every drop-down menus. 

Click the Search button. A list of dates and times will appear.

Click the Schedule Available button to schedule the book out times.

Class Booking

As with a canceled appointment, workers are notified via text message when a booked Class has been canceled.

Note: The worker detail record (Setup > Setup Workers > Worker Detail > Profile tab) must have a mobile phone and mobile carrier, along with the option for receiving notification of canceled appointments checked. 

Cash Counting

Cash Counting is a new feature which allows you to balance your cash. Go to Check Out and click the Check Out List breadcrumb. Click the Cash Counting button.

Select Date - Select the date for the Cash Counting.

Cash Drawer - Select the drawer you wish to count.

Click the Generate button.

The Cash Counting Report will appear. Each of the following items will always display on the page.

  • Opening Cash as determined after entering the monetary denomination totals at the beginning of the day

  • Transaction Total amount comes from the cash tickets / tips paid out

  • Cash In/Out Total is running total of all Cash Paid In and Cash Paid Out transactions for the day

  • Closing Cash as determined after entering the monetary denomination totals at the end of the day

  • Cash Over/Under is displayed after entering closing cash denominations

  • Total is updated when monetary denominations are being entered (located in the bottom right corner)

Transaction Total and Cash In/Out Total will only display a value which is related to the Cash Drawer assigned to a specific computer/device in Setup > Setup Ticket Preferences > POS Devices.  

Opening Cash and Closing Cash will be reflected based on the drawer selected on the Cash Counting page.

OPENING: Enter the quantities (number of) each denomination of paper bills and coins at the beginning of the day.

Opening Cash can not be edited once it has been saved.

Click the Save button.

At the end of the day, return to Cash Counting.

 

CLOSING: Enter the quantities (number of) each denomination of paper bills and coins at the end of the day.

If the Cash Over/Under is a value other than $0.00, the drawer is not in balance.

Closing Cash can not be edited once it has been saved.

The drawer is in balance when the Cash Over/Under is zero. 

You may need to complete a cash paid in or cash paid out transaction in order to balance the drawer if you find an accounting error.

IMPORTANT NOTE: If any of the denomination fields are anything but blank upon clicking Save, the record will be saved with the Status of Closed, regardless if the drawer is in balance or not.

Click the Save button when the Cash Over/Under is zero.

Return to Cash Counting to view a READ-ONLY version of the page where the Status is Closed.

Denomination values can not be edited once it has been saved.

Time Selector

The Time selector in each Marketing Set has been extended to display between 7:00 AM and 10:00 PM. 

Status/Service Filter

To ensure proper results, the Status / Service filter must have specified criteria in order to properly gather the respective clients. If no criteria is selected, an Error message will appear.

At a minimum, at least one filter parameter must an option selected. 

Daily Cash Drawer

Review opening and closing Cash, as well as any cash overage or shortage while viewing other Cash Drawer report information.

  • Go to Reports > Transaction Reports and select the Daily Cash Drawer report. 

  • Select the appropriate date from the Select Date calendar.

TBP Report

The TBP Report has date range fields to select the desired dates for the report.

  • Go to Reports > Business Analysis Reports and select the TBP Report

  • Select the appropriate date from the Begin Date calendar.

  • Select the appropriate date from the End Date calendar.

  • Click the Generate button to view the report.

Rebook Reporting

Previously, the Rebook reporting depended upon the number of appointments whose appointment date was within the reporting period with the Rebook flag. 

NEW: The Rebook reporting depends upon the number of future appointments whose created date is within the reporting period with Rebook flag.

The Rebook % has been updated on the following areas:

  • Appointment Calendar (Rebook % reflects what % of appointments ‘today’ have been rebooked for future dates)

  • Owner Dashboard (Rebook % This Month)

  • Reports > Business Analysis Reports > Ticket Analysis Report

  • Reports > Business Analysis Reports > Activity Comparison

  • Reports > Business Analysis Reports > Visit Type Overview

  • Reports > Business Analysis Reports > TBP Report

  • Reports > Business Analysis Reports > ABC Report

On Hand Product

The On Hand Product report has a Product Line selector for the report.

  • Go to Reports > Inventory & Gift Reports and select the On Hand Product report.

  • Select the appropriate Product Line.

  • Click the Generate button to view the report.

All products from the selected Product Line will appear, with the Average On Hand Cost values.
