STX Beacon: Rewards

The Beacon Rewards system allows you to reward your clients for their continued loyalty.  By setting up simple program rules, you can help your clients build point reserves they can turn in for discounts on products or services.

Your Rewards programs can be as basic or as advanced as you need them to be. By setting up Award Rules and Redeem Rules, Beacon will automatically reward your clients with Points to use toward future purchases. 

The Points are assigned specific monetary or percentage values according to the rules you establish. Point balances accumulate independently in each program you design and cannot be combined. They can be manually transferred from program to program per each client, should the need arise. Points are awarded when a client’s ticket has been fully paid.

To get started, go to Home > Marketing > Setup Rewards.

The Rewards list will appear. The list will be empty if Rewards have never been set up.

The Rewards programs in these examples should not be considered as recommendations - they are examples only and used to show the simplicity of setting up the Rewards programs in Beacon. Feel free to make your own adjustments to the rewards examples to suit your own business needs.

Everything Rewards

Everything Rewards - Includes everything, except for Referred Clients. This type of program will gather all earned points into a single ‘bucket’ to be redeemed on future purchases. 

If you wish to keep earned points separated into different ‘buckets’ based on Products, Services, Gifts, and Completed Tickets, you will need to create separate programs instead of creating a program which encompasses everything.

If you will be using separated rewards programs instead of one which encompasses everything, do NOT create this reward example.

Everything Rewards Rules

  • Awards Points equal to the amount ($) spent on Services

    • No Start Date, No End Date

  • Awards 1 Point for Every Individual Service

    • No Start Date, No End Date

  • Awards Points equal to the amount ($) spent on Products

    • No Start Date, No End Date

  • Awards 1 Point for Every Individual Product

    • No Start Date, No End Date

  • Awards Points equal to the amount ($) spent on Gifts

    • No Start Date, No End Date

  • Awards 1 Point for Every Individual Gift

    • No Start Date, No End Date

  • Awards 1 Point for Every Completed Ticket

    • No Start Date, No End Date

How many points will the client earn? If the client purchases 2 Services at 50.00 each, 2 Products at 20.00 each, 2 Gifts at 100.00 each, and pays for the ticket, the client will earn a total of 347 points.

Service points = 51 (amount ($) + individual) for each service x 2 = 102 points

Product points = 21 (amount ($) + individual) for each product x 2 = 42 points

Gift points = 101 (amount ($) + individual) for each gift x 2 = 202 points

Completed Ticket = 1 point

102 + 42 + 202 + 1 = 347 points total

  • Redeem 100 Points for a 10% Discount on one Service item

    • No Start Date, No End Date

  • Redeem 100 Points for a 10% Discount on one Product item

    • No Start Date, No End Date

  • Redeem 200 Points for a 10.00 Discount on one Service item

    • No Start Date, No End Date

  • Redeem 200 Points for a 10.00 Discount on one Product item

    • No Start Date, No End Date

If the client has enough points to redeem more than 1 discount, the Redeem Rule Name will appear on the ticket for each eligible redemption.

Example: The client has 347 points available to redeem.

The eligible redemptions might appear as follows:

3 Individual Service 10% discounts, OR

3 Individual Product 10% discounts, OR

2 Individual Service 10% discounts PLUS 1 Individual Product 10% discount, OR

2 Individual Product 10% discounts PLUS 1 Individual Service 10% discount, OR

1 Individual Service 10% discount PLUS 1 Individual Service 10.00 discount, OR

1 Individual Product 10% discount PLUS 1 Individual Product 10.00 discount, OR any other combination of 1 Individual Service/Product 10% discount PLUS 1 Individual Service/Product 10.00 discount. 

Gifts Extra 100 Points

Gifts Extra 100 - Allows giving ‘bonus’ points for Gift purchases. 

This type of program will separate Gift rewards points, unless you create a program which encompasses all Gift purchases, including both ‘regular’ and ‘bonus’ points in the same ‘bucket’. 

Awards 100 Points for Every Individual Gift

  • No Start Date, No End Date

The client will earn 100 points for every Gift they purchase, regardless of the amount of the purchased Gift.

  • Redeem 100 Points for a 10.00 Discount on one Service item

    • No Start Date, No End Date

  • Redeem 100 Points for a 10.00 Discount on one Product item

    • No Start Date, No End Date

If the client has 400 points to redeem, they would be eligible to redeem discounts on multiple items until all points are redeemed.

Product Spending

Product Spending - Allows giving points for the amount ($) spent on Product purchases, as well as each individual product purchased on the same ticket. 

This type of program will separate Product rewards points from other rewards programs. 

Awards 100 Points for Every Amount ($) Spent on Products (Product purchase of 36.00 = 3600 points) - has Start Date, Has End Date

  • Awards 200 Points for Every Individual Product - has Start Date, Has End Date

The client will earn points equal to 100x the monetary value of the products they purchase, plus another 200 points for each individual product they purchase. Points can only be earned during the period between the Start Date and End Date.

  • Redeem 500 Points for a 10% Discount on one Service item - has Start Date, Has End Date

If the client has 1000 points to redeem, they’re eligible to redeem discounts on multiple items until all points are redeemed. Points can only be redeemed during the period between the Start Date and End Date.

Refer a Friend

Referred Clients - Allows giving points for referring new clients to your business.

This type of program will separate Referred Clients rewards points from other rewards programs. 

Awards 100 Points for Every Referred Client

  • No Start Date, No End Date

  • Redeem 100 Points for a 20% Discount on one Service item

    • No Start Date, No End Date

Each time an existing client refers a new client to your business, the existing client will earn 100 points. The existing client can redeem the 100 points right away for the 20% discount on any one Service item. 

If the client has 300 points, they can redeem the points on 3 different Service items.

Service Spending

Service Spending - Allows giving points for Amounts ($) spent on Service purchases, as well as each individual service purchased on the same ticket. 

This type of program will separate Service rewards points from other rewards programs. 

Awards 200 Points for Every Amount ($) Spent on Services 

    • (Service purchase of 50.00 = 10,000 points)

  • No Start Date, No End Date

The client will earn points equal to 200x the monetary value of the services they purchase.

  • Redeem 1000 Points for a 30% Discount on one Product item

    • No Start Date, No End Date

If the client has 30,000 points to redeem, they would be eligible to redeem discounts on multiple items until all points are redeemed.

Summer Reward Program

Summer Reward Program - Allows giving points for Amounts ($) spent on Service and Product purchases on the same ticket. 

This type of program will separate Service and Product rewards points from other rewards programs. 

Awards 2 Points for Every Amount ($) Spent on Services (Service purchase of 50.00 = 100 points)

  • Has Start Date, Has End Date

  • Awards 1 Point for Every Amount ($) Spent on Products (Product purchase of 20.00 = 20 points)

    • Has Start Date, Has End Date

Points can only be earned during the Start Date and End Date.

  • Redeem 100 Points for a 10.00 Discount on one Service item - has Start Date, No End Date

  • Redeem 100 Points for a 10% Discount on one Product item - has Start Date, No End Date

If the client has 600 points to redeem, they would be eligible to redeem discounts on multiple items until all points are redeemed. Points can only be redeemed after the Start Date.

Create New Rewards Program

To create a new Rewards program, click the New button. The Reward Detail page will open.

Reward Name is a required field. Enter the name for the new Rewards program.

The Active checkbox is set by default. If you wish to make the Rewards program inactive until you have time to complete the setup, simply uncheck the Active checkbox.

Award Rules

Enter the appropriate value in the Award Points field.

The For Every drop-down menu contains the options of Amount ($) Spent On, Individual, Completed Ticket, and Referred Client. Select the appropriate option.

The Item drop-down menu contains the options of Services, Products, and Gifts, and is only available when either Amount ($) Spent On or Individual is selected from the For Every drop-down menu.

Select an appropriate Start Date and End Date if necessary. The system will accept no dates, only a Start Date and only an End Date.

Add Award Rules by clicking the green (+) button. A new line will appear.

To remove added Award Rules, a red (-) button will be available. Click the red (-) button to remove added lines.

Redeem Rules

Enter the appropriate Name for the Redeem Rule. The Name field is required and must be unique for each Redeem Rule listed.

Enter the appropriate value in the Redeem Points field.

Enter the appropriate value in the Discount field.

Select either Amount ($) or Percent from the discount drop-down menu.

The On One Item drop-down menu contains the options of Services and Products

Select an appropriate Start Date and End Date if necessary. The system will accept no dates, only a Start Date and only an End Date.

Add Redeem Rules by clicking the green (+) button. A new line will appear.

To remove added Redeem Rules, a red (-) button will be available. Click the red (-) button to remove added lines.

Click Save to preserve the new Rewards program.

Click Cancel to discard the new Rewards program. 

Edit Existing Rewards Program

Click the Reward Name hyperlink to view the Reward Detail page or make changes. 

Click Save to preserve the changes.

Click Cancel to discard the changes. 

Client Participation

When a new client record is created in Beacon, the client is automatically set to be an active participant in your Rewards programs.

When the Active Rewards checkbox is checked, the client is an active participant in your Rewards programs. To prevent a client from participating in your Rewards programs, uncheck the Active Rewards checkbox.

If the client has previously earned or redeemed points for any of your Rewards programs, each program with balances greater than 0 will be listed along with the actual current Points Balance

Adjust Points

To add or remove points from a specific Rewards Program, enter the appropriate value of either a positive number or a number with the negative (-) dash added. For example, to add 100 points, enter the point value of 100. To remove 100 points, enter the point value of -100. Enter a Description about why, if necessary.

If you do not see the Rewards Program in the list, select the appropriate program from the drop-down menu.

When looking up an existing client in Home > Clients, the client Quick Card will display each Rewards Program with balances greater than 0, along with the actual current Points Balance.

Click the Go To Full Client Card button to view the Rewards information on the Accounts tab.

The client’s full client card will display each Rewards Program with balances greater than 0, along with the actual current Points Balance.

If you do not see a Rewards Program in the list, select the appropriate program from the drop-down menu. Once the program is selected, use the Adjust Points field to add or remove points.

Awarding Points

Rewards points are earned according to each program’s Award Rules and are added upon completion of each ticket. Unpaid or partial paid tickets will not earn points

The Completed Ticket Detail page will display the points that were Earned on the ticket for each Rewards program.

If the client had redeemed points on the ticket, the Used column would display the number of points that were used for redemption for each Rewards program. 

Click the Email Receipt button to have an exact replica of the Completed Ticket Detail sent to the client. The emailed receipt will also include the Rewards information.

Redeeming Points for Services

When a client has enough points to redeem for a discount on services, Beacon will automatically apply the credit to your client’s ticket with just a couple of clicks. 

To apply a Rewards credit to your client’s services, click the appropriate service in the receipt area on the right-hand side of the ticket.

A detail pop-up window will appear. 

The Promotion/Reward drop-down menu will only include the programs in which the client has accumulated enough points to make a redemption. If the client does not have enough points to redeem, the Select Reward drop-down menu will not appear.

Select the Promotion/Reward the client would like to use for their discount.

Once you have selected the program your client would like to use for their discounted services, the new discounted price will display in the detail window.

Click the Update Ticket button to apply the new price to the ticket.

The new discounted price for services will now display on the ticket.

Redeeming Points for Products

The process for applying a Rewards discount to products is much the same as the process for applying a Rewards discount to services.

When a client has enough points to redeem for a discount on products, Beacon will automatically apply the credit to your client’s ticket with just a couple of clicks. 

Add product by choosing from those listed in the Products tab found at the bottom of the ticket. In this example, we will add Moisturizing Shampoo by clicking on its quick selection button.

Once you’ve chosen a product to add to the ticket, a detail window will pop up, displaying the price of that product. Use the detail window to:

  • Select a worker for the sale

  • Change the quantity of the product being sold

  • Click on the Promotion/Reward drop-down menu. The Promotion/Reward drop-down menu will only display the programs in which the client has accumulated enough points to make a redemption. If the client does not have enough points to redeem, the Select Reward drop-down menu will not appear. In this example, we will choose the Free Product Reward.

Once you’ve selected the appropriate rewards program, the discounted price will display.

Click Add to Ticket.

The product, its discounted price, and the appropriate tax will now display in the ticket summary on the right-hand side.

The Completed Ticket Detail page will display the points which were Used on the ticket for each Rewards program.

If the client had earned points on the ticket, the Earned column would display the number of points which were earned for each Rewards program. 

Click the Email Receipt button to have an exact replica of the Completed Ticket Detail sent to the client. The emailed receipt will also include the Rewards information.

The client’s full client card: accounts tab will display each Rewards Program with balances greater than 0, along with the actual current Points Balance. The Points Balance has been updated to reflect the points both awarded and redeemed on the last ticket.
