STX Beacon: Refer a Friend

Did you know that most consumers say they have the most faith in recommendations from people they know about companies and services? It’s the most trusted way for a business to get its name to potential customers. It’s also the most difficult, as word-of-mouth advertising can’t be purchased. 

As a business owner, you can harness the power of referrals by adding a Refer A Friend link to your appointment and marketing emails.

Add Refer a Friend Link to Appointment Emails

Appointment Emails (Notification & Reminder) can include a ‘Refer A Friend’ hyperlink, which will take the client directly to the ‘Refer A Friend’ screen.

To create a ‘Refer A Friend’ link, simply go to Setup > Setup Appointment Preferences > Online Booking.

Highlight and copy (command-C) the URL at the top of the Online Booking tab. NOTE: The URL pictured is an example and will not be the same as what is displayed on your screen.

Open a new TextEdit document, or some other document application to paste (command-V) the Online Booking URL.

NOTE: Your Online Booking URL will be different than shown in the following screen.

Highlight the following and copy/paste it to the end of the Online Booking URL already in TextEdit to create the entire ‘Refer A Friend’ link:             

/STX_Beacon__ReferAFriend?referringClientId={!Client.Id}&senderEmail={!Client.Email}

Once you have created the ‘Refer A Friend’ link, highlight and copy the entire link from the TextEdit document,  and navigate to Setup > Setup Appointment Emails.

Open the desired email template and add ‘Refer A Friend’ text. 

In this example, the following text was added:

Refer A Friend ~ We appreciate all referrals!

Highlight the ‘Refer A Friend’ text to add a hyperlink within the appointment email template. Click the ‘link’ icon to add the ‘Refer A Friend’ link.  

Paste the entire link into the URL field. Click OK and Save the email template page.

When a client receives the appointment email, the ‘Refer A Friend’ hyperlink will be available for them to click. 

Add Refer a Friend Link to Marketing Emails

Marketing Emails can include a ‘Refer A Friend’ link/button, which will take the client directly to the ‘Refer A Friend’ screen.

NOTE: The link created for Marketing Emails is slightly different than the link created for Appointment Emails.

To create a ‘Refer A Friend’ link, simply go to Setup > Setup Appointment Preferences > Online Booking.

Highlight and copy (command-C) the URL at the top of the Online Booking tab. NOTE: The URL pictured is an example and will not be the same as what is displayed on your screen.

Open a new TextEdit document, or some other document application to paste (command-V) the Online Booking URL.

NOTE: Your Online Booking URL will be different than shown in the following screen.

Highlight the following, which is different than what is used for the Appointment Emails, and copy/paste it to the end of the Online Booking URL already in TextEdit to create the entire ‘Refer A Friend’ link:             

/STX_Beacon__ReferAFriend?referringClientId=[clientId]&senderEmail=[email]

Once you have created the ‘Refer A Friend’ link, highlight and copy the entire link from the TextEdit document,  and navigate to Marketing > Marketing Emails. 

To include the Refer A Friend link in a Marketing Campaign, use the Button module. 

Button - User-defined button embedded with the URL of your choice and completely customizable. This module can be used as the Refer A Friend. 

The ‘Refer A Friend’ link can be also be added to either a ‘Refer A Friend’ icon or any written text.

Existing Clients Referring Prospective Clients

Sample email the business sends to existing clients asking them to refer friends and family. 

Email includes the ‘Refer A Friend’ button.

The existing client will click the ‘Refer A Friend’ button. 

The existing (referring) client’s name and email address appear at the top. 

The Personal Message field allows the existing (referring) client to say something about the business, which will be included in the email sent to the prospective (referred) client.

Click Send to submit the list of prospective (referred) clients. 

A Success page will display with the listing of prospective (referred) clients. 

If the existing (referring) client wishes to refer more people, they will simply click the Add More Recipients button located on the Success page.

Once the existing (referring) client submits the prospective (referred) clients, the business owner will receive an email. 

The email sent to the business owner contains the existing (referring) client name and email address, the personal message the existing (referring) client added, and the information about the prospective (referred) client(s).

Name - Prospective (referred) client name as submitted by the existing (referring) client during the Refer A Friend process.

Email - Prospective (referred) client email address as submitted by the existing (referring) client during the Refer A Friend process.

Result - If the prospective (referred) client does not already have a client record in Beacon, and the email address submitted by the existing (referring) client was successfully delivered, an email will be sent to the prospective (referred) client and will have a Result of Success.

If the prospective (referred) client already has a client record in Beacon, the email will not be sent to the prospective (referred) client and will have a Result of Already a Client.

If the prospective (referred) client does not already have a client record in Beacon, but the email address submitted by the existing (referring) client was not deliverable, the email will not be sent to the prospective (referred) client and will have a Result of Error. The Error message depends on the error that occurred when sending the email to the prospective (referred) client.

Prospective Clients Referred by Existing Clients

Prospective (referred) clients will receive an email notice of being referred. 

Subject: 

Tammy White just referred you to Tommy's Massage

Prospective (referred) clients will click the hyperlink to register with the business.

The My Personal Information and My Preferences information selected in the Profile Center will be included on the new client record.

Upon saving the profile, Beacon will create a client record for the newly referred client.

Beacon will link the existing (referring) client in the Referred By field of the newly referred client.

The Referred On Date is the date the ‘new’ client was referred.

The Refer A Friend Prospect is auto-checked by the Beacon system when a ‘new’ client completes the registration during the Refer A Friend process.

Customizing Referred Clients Email

To customize the body of the Refer A Friend email that is sent to the Prospective (Referred) Clients, navigate to Home > Setup > Setup Appointment Emails.

Click the Refer A Friend Email Template Name hyperlink.

Format the body of the email and upload images using the HTML Value bar. 

Use the image uploader tool to upload an image or logo.

Insert special substitution variables to have specific information about your company, or the referring client’s name, included in the body of the email when the email is sent to the prospective client. 

Company Name: {!Company.Name}

Company Email: {!Company.Email}   

Company Phone: {!Company.Phone}

Referring Client: {!Referring.Client}

It is highly recommended you always include a message in all email correspondence for the recipient to add your company email to their address book to ensure delivery. This will help to prevent your emails from going into the recipient’s trash, spam or junk folder.
